Terms and Conditions

Tentative booking

A 25% non refundable deposit based on your estimated event bill is required to secure your booking within 7 days of a tentative being placed. Bookings are automatically released if contact and/or payment are not made within this period.

Confirmation deposit

A 25% non refundable deposit based on your estimated event bill is required to secure your booking.

Any event estimated under $1000.00 in value is required to be paid in full before the event date.

 

Confirmation of guest numbers

A guaranteed minimum number of guests attending the function is required at least two (2) working days prior to the function at which time the final bill amount must be paid in full by credit card over the phone, in person or by cheque.

Final details

Menu selections are required seven (7) working days prior to your function.

Payment

Final numbers provided will form the basis for the minimum number you will be invoiced and charged for. Final payment of your bill total is required no later than two (2) working days prior to your function. In the event your balance is not paid two (2) days prior to the commencement date of your event as per the terms & conditions, Graduate House reserves the right to not proceed with your event. Graduate House also reserves the right to automatically deduct any additional and unpaid charges incurred during a function from your credit card without notification. A late fee may apply in the event of late payment.

Pricing

All prices include GST. Pricing subject to change without notification. A surcharge of 50% applies to all weekend functions. Functions exceeding agreed conclusion times incur a $7.50pp per hour surcharge.

Conference Packaging terms

Conference fees per person remain the same regardless if morning or afternoon tea is required. Full day conference fees will apply if your event requirements exceed four hours.

Room hire

Graduate House offers complimentary room hire for all members of the Graduate Union, providing all events are fully catered for and meet the minimum number requirements. Conditions apply. Room hire charges apply when catering is not required or when more than one room is booked for an event and the number of guests or the estimated revenue decreases by more than 20% two (2) working days prior to your function. Every effort will be made to host your event in your room of choice; however Graduate House reserves the right to change your booking to a comparable function room.

Function times

Current Graduate House function times are between 9am and 5pm or 6pm to 10pm, Monday to Friday. Graduate House reserves the right to end or extend functions at its discretion. All functions must be completed by 11pm on Fridays or Saturdays and by 10pm weekdays due to the fact Graduate House is a residential college.

Cancellation terms

In the event of a conference cancellation, the 25% deposit will be kept by Graduate House as a cancellation fee. Should a cancellation of a fully paid function fall within 48 hours of your event commencement time, there will unfortunately be no payment refund.

Conference rules

A minimum number of 15 delegates are required for the above listed packages, with the Full Day Conference Bistro Package stipulating a minimum of 30 delegates. Graduate House reserves the right to modify any original specifications or relocate booking to a comparable location in the event of reduced numbers.

Conferencing capacity

Please enquire about seating, standing and cocktail function capacity. Graduate House has several distinct rooms with state of the art facilities to cater for your every need. We suggest you book a tour to view the rooms and discuss your conferencing requirements.

Damages

All persons attending a function at Graduate House are required to comply with the Rules and Regulations of the Graduate House and with all instructions from Graduate House Staff. Those failing to comply may be required to leave the premises. The person making this booking is responsible for the behaviour of all persons attending and liable for any loss or damage.

Contract

The client releases and indemnifies Graduate House, its management, its contractors and agents from and against any liability or damage, including any negligent act or omission of, arising for an event. Graduate House will take all necessary care, but does not accept responsibility for the damage or loss of goods left on the premises prior to, during or after an event. PLEASE ARRIVE AND DEPART GRADUATE HOUSE QUIETLY AT ALL TIMES AS IT IS A RESIDENTIAL COLLEGE AND THE NEEDS OF OUR RESIDENTIAL STUDENTS SHALL BE CONISIDERED PARAMOUNT.
